Property Manager - Fountainhead Apartments

Position Reports To: 
Regional Manager
Responsibilities include the following but are not limited to the job specifications contained herein. Additional duties or job functions may be required as deemed necessary by Arbor Management, LLC and its affiliates: • Assist the Regional Manager with preparation and administration of the property’s operating budget including control of monthly expenses, using the Budget Control Book when assigned by the Regional Manager. • Inspect (walk) the property on a regular basis and schedule improvements and repairs. Regular inspections are defined as walking the property at least on a weekly basis. • Have constant knowledge regarding property contracts and suppliers, as well as their goods and services. • Ensure that all financial reporting, record keeping and paperwork are prepared and submitted correctly and in a timely manner. • Be knowledgeable in and comply with all local, state, and federal regulations governing the property including landlord/tenant regulations. • Be present for any site visits that involve ownership or agency inspections. Accompany inspectors (walk) within the property. • Conduct market surveys, shop competition and have constant awareness of market conditions. Develop and administer a marketing plan for the property under the guidance of the Regional Manager. • Demonstrate units to prospective residents (climbing any stairs and walking to the model or any unit available for show). • Process applications for apartments including pre-qualifications and selection. • Develop and implement a positive resident relations program for the property. • Maintain timely collection of rents and all monies on site including daily bank deposits and records. • Ensure that leases are renewed on a timely basis and ensure that any applicable re- certification procedures are conducted in accordance with program guidelines. • Inspect (walk) unit move-ins and move-outs for damages as well as perform any unit inspections during the tenant’s residency. • Supervise the maintenance function, including scheduling and expenditures. Ensure that scheduling for 24-hour property coverage is maintained for maintenance emergencies. • Process evictions. • Recruit, hire, terminate, supervise and motivate all staff personnel to achieve the operational goals of management in accordance with the Arbor Management policy manual. • Maintain and submit accurate payroll records. • Perform job counseling and performance evaluations for all employees on site. • Complete subordinate employee disciplinary notices, as necessary, using the Arbor Management personnel policies as a guide. • Bring areas of any disciplinary action to the attention of the Director or Assistant Director of Residential Management, Human Resources Department head and the Regional Manager. • Identify training needs of staff and recommend training to the Regional Manager. • Attend any company sponsored training and education seminars as requested. Travel and overnight stays may be required. • Provide timely reporting of any property loss or liability related incidents to the Director or Assistant Director of Residential Management, the Regional Manager, the claims person in Arbor Management, and the liability insurance company. • Maintain required safety records. • Provide timely reporting of any work related injuries to the Director or Assistant Director of Residential Management, Regional Manager, Human Resources Department head and to the workers' compensation insurance company.
• High School Diploma or equivalent • Bachelors degree preferred • Degree in a related field preferred • Certifications in the following: Housing Credit Certified Professional, Certified Occupancy Specialist, Specialist in Housing Credit Management • 2 or more years experience in multi-family property management, including direct supervision of others • Proven Marketing and Leasing experience • Experience with affordable housing, Rural Development, Low-Income Tax Credit, preferred • Proficiency in Microsoft Office, including Word, Excel, and Outlook • Proficiency in Yardi preferred • Excellent customer service skills • Ability to perform in a busy, changing, multi-tasking work environment • Requires ability to physically inspect property (or properties) and individual units • Requires ability to read, speak, and comprehend the English language • Requires a valid driver’s license, an insured vehicle, and the ability to travel (between properties, on-call emergencies, training, etc.)
